The Hospitality and Twinning Committee’s Terms of Reference are set out in the Constitution at Part 4 (Other Committees, Functions, Procedures and Terms of Reference).  Its functions include –

·                    To provide advice to the Lord Mayor on matters of official conduct

·                    To devise civic protocols for Members and Officers on matters of civic conduct

·                    To determine the payment of allowances to the Lord Mayor and Deputy Lord Mayor and the organisation of functions and hospitality to be afforded by the Council within budget limits set out by the Council

·                    To arrange ceremonial and similar occasions, including visits to the City by members of the Royal Family

·                    To determine matters relating to the contents of the Lord Mayor’s Parlour and the Council House, including the Civic Plate collection, and their display

·                    To determine matters regarding the use of the Lord Mayor’s accommodation and transportation, including the management and use of 3 Elliot Terrace (Lord Mayor’s Official Residence)

·                    To approve invitations issued for visits to the City by delegations from other Countries

·                    To approve visits by the Lord Mayor and civic delegations from the City to other Countries

·                    To consider requests received for the donation to and from the City of commemorative objects, plaques, addresses, sporting trophies, etc. and their placement

·                    To determine matters concerning use of the Civic Crest and Coat of Arms

·                    To determine all matters concerning the Council’s twinning function

·                    To determine civic and other catering arrangements
